The quote gets signed. The invoice follows.

Create your quote, email it, and let your customer sign it online. Gillia then prepares the invoices to issue, based on your sales cycle and invoicing policy.

Your quotes and invoices, in practice

One conversation with Gillia, from the first quote to the last payment. It prepares, you approve.

1

Prepare the quote

Choose the customer, add your products or services, and adjust the quantity, price and VAT rate on each line. Gillia updates the total as you go. You can save the quote as a draft.

  • Draft a quote for Mrs. Martin: 2 days of painting, 25 m² living room.
  • Apply 10% VAT to this job.
  • Add floor and furniture protection.

A detailed quote to review before sending it.

2

Send it to your customer

Review the message, then send the quote by email: it includes a button to view and sign it online.

  • Send Mrs. Martin's quote for signature.

Your customer receives a link to view and sign the quote online.

3

Track the customer's response

Until the customer signs, the quote stays in “awaiting signature” status. You can send a follow-up or even edit it: the link you already shared will show the updated version. If the customer agrees by phone, just mark the quote as accepted.

  • Which quotes still need to be closed?
  • Accept Mrs. Martin's quote. She confirmed by phone.

You can see which quotes need a follow-up and which are already accepted.

4

The quote is accepted

The next steps open up: deliver, request a deposit, convert the quote into an order, or invoice it. The items on the quote stay reserved in stock until it's invoiced.

  • Add a 30% deposit to the quote.
  • Which quotes are holding stock of this item?

You choose what comes next, without leaving the quote.

5

Issue the invoice

You choose when and what to invoice: the remaining balance of the quote, a set amount, or selected lines. Gillia prepares a draft invoice for you to review before you issue it.

  • Create the invoice for Mrs. Martin's quote.
  • Create the invoice for the delivered order.

A draft invoice to review, which you issue when you're ready.

6

Track the payment

When the customer pays, record the payment, either in full or in installments with a payment schedule. You can track paid invoices and payments still outstanding.

  • Which invoices are overdue?
  • Send a reminder for invoice 2026-F117.
  • Mark invoice 2026-F117 as paid.

You can see which invoices are paid and which payments still need a follow-up.

You choose when and how to invoice.

Gillia adapts to your sales cycle and the way you invoice. You can change these settings at any time without affecting your history.

Your sales cycle

  • SimpleQuote → Invoice

Tradespeople, service providers, stores that don't deliver.

  • Standard DefaultQuote → Delivery notes → Invoice

Most businesses that deliver. Partial deliveries are supported, and you can still convert an accepted quote into an order.

  • LogisticsQuote → Order → Picking → Shipping → Delivery → Invoice

    Wholesale, distribution, warehouses: line-by-line tracking.

Your invoicing policy

  • Manual Default

You invoice when you decide: delivered but uninvoiced items, the balance, a set amount, or selected lines.

  • On order

As soon as the order is confirmed (or the quote is accepted, if there's no order): an invoice for the full amount, or a deposit invoice.

  • On shipment

When each delivery note is confirmed: an invoice for the lines shipped.

  • On delivery

When the delivery note is signed: an invoice for the quantities accepted.

  • Periodic

All of a customer's uninvoiced delivery notes on a single invoice, at the end of the week or month.

By default, each event creates a draft invoice for you to review and issue. With optional automatic issuing, the invoice is issued right away. A customer or an order can also have its own setting. Once issued, an invoice can no longer be edited: any correction goes through a credit note.

Frequently asked questions

Invoices generally must be kept for several years to meet accounting and tax record-keeping requirements. Your Gillia documents stay archived and accessible at any time, with no filing on your end.

Yes. Gillia connects to your accredited e-invoicing platform. Since September 1, 2026, all businesses in France must be able to receive electronic invoices. Issuing them has been mandatory since that date for large and mid-sized companies, and will be from September 1, 2027, for SMEs and micro-businesses.

The issuer's and customer's names and addresses, the invoice number and date, a description and price of the services, the applicable VAT rate, and the disclosures required for your legal status. Gillia adds them automatically to every document once your business details are set up.

Yes. Each line of the quote can have its own rate: just tell Gillia which rate applies to which service, for example the 10% reduced VAT rate on labor and the standard rate on certain materials.

Ask Gillia to add a deposit as a percentage or a fixed amount: it appears on the quote along with the remaining balance due, and the matching deposit invoice can be generated as soon as the deposit is received.

Yes. Your quotes, invoices, and payments can be exported for your accountant, in addition to the records Gillia already keeps up to date as you go.

A quote is a priced proposal subject to the customer's approval: it doesn't commit anyone to pay until it's signed. An invoice records goods or services that have been delivered or ordered, and makes payment due by its due date.

Gillia helps you spot invoices past their due date and prepares a payment reminder. You stay in control: you confirm the send, adjust the tone, or move to a more formal approach if the delay drags on.

No. Invoice numbers must be sequential and chronological, with no gaps or duplicates. Gillia assigns them automatically each time an invoice is issued, in line with that rule.

Yes. Document templates can be customized in the settings: your logo, legal notices and colors define how the PDF looks. You then choose which template to use for your quote.

Already invoicing? Nothing goes to waste.

Excel, invoicing software, or a paper quote book: no need to change everything overnight. Your rates, your branding and your current numbering are carried over during setup, so your first Gillia quote picks up right where your existing documents left off.
